The Royal Academy Schools is located at the heart of the Royal Academy of Arts on Piccadilly and is the longest running independent art school in the UK with up to 50 students enrolled in a three-year Postgraduate Programme in Fine Art. The RA Schools’ postgraduate programme is studio-based and inclusive of all contemporary art media. The programme includes a breadth of lectures, artist talks, group critiques and tutorials given by leading contemporary artists, Royal Academicians, critics, writers and theorists.
We are currently looking for an exceptional administrator to support the Royal Academy Schools. You will have existing office administrative experience and an advanced knowledge of GSuite for Education (Google Apps / Docs) and MS Office or an aptitude for software and systems. It is essential that you have first class written skills and that you enjoy writing – to draft various committee minutes, letters, emails, and reports.
Well presented, polished, friendly, diplomatic, articulate and confident, you will possess exceptional communication skills to quickly build strong working relationships both with internal colleagues, freelancers and important visitors. This role places you amongst a community of internationally renowned artists and offers a rare opportunity to work closely not only with our faculty, many of whom are established artists themselves, but with each of our students individually.
This is a dynamic and varied role with a high volume of complex and deadline driven tasks, you will need to be able to work at pace and with a high level of accuracy. You will need to be innovative, proactive and forward thinking in your approach, with a real aptitude for prioritising your work. The role is a fixed-term contract, for 12 months.
A genuine interest and knowledge of the visual arts and enthusiasm for the work and objectives of the Royal Academy of Arts is an advantage.

MAIN OBJECTIVES
You will provide comprehensive administrative support to the Royal Academy Schools and direct assistance to the Keeper of the Royal Academy, and the Curator of RA Schools.
MAIN DUTIES
  • Act on all incoming enquiries and correspondence for the Keeper, and the Curator; including correspondence from gallery and art school contacts, committee members, fundraising donors and prospects, RA staff and Royal Academicians.
  • Diary management; directly responsible for coordinating the diaries of the Keeper and Curator, in addition you will support the office team in arranging and delivering meetings as required. Ensuring digital calendars are accurate and staff are adequately informed. Contribute to the administration of other calendars.
  • Inbox management; coordinating the email inboxes of the Keeper / Curator, responding to enquiries and actioning items as required, opening and responding to post for Keeper and Curator. Archiving completed items and ensuring inboxes are organised and clear.
  • Maintain RA Schools contacts including those held by the Keeper / Curator. Ensure selected contacts are updated in the Raiser’s Edge database. Support the maintenance of event invitation lists and ensure integrity of data and that it is held according to data protection best practice.
  • Coordinate the planning, delivery and administration of the RA Schools Committee, and regular Academic Staff Meetings. This will include scheduling dates; booking rooms; sending invitations; arranging refreshments; producing and distributing agenda, papers and reports; taking detailed minutes; following up on actions and interim communications, and maintaining the committee distribution list. Ensure committee members are invited to events.
  • Assist the Keeper, the Curator and wider team with preparation for all other meetings. Draft and collate paperwork and briefing notes for meetings as required.
  • Capture and follow up on actions from meetings with the Keeper, the Curator and wider team.
  • Proactively plan for and prepare draft reports, letters and emails on behalf of the Keeper, the Curator and wider team.
  • Coordinate the appointment of RA Schools Professors; their engagement with the RA; draft reports in relation to Professors activities.
  • Welcome donors and other visitors in the absence of the Keeper, the Curator or other senior staff. Ensure that visitors have all the information they require.
