Gallery Logistics Assistant needed at fast-paced London gallery

Our client, an established Design Gallery in Central London, is seeking a Gallery Logistics Assistant. This unique opportunity is fit for someone who is looking to grow within a fast-paced gallery as part of a small energetic team.

The assistant will be responsible for all internal and external shipping and distribution of gallery works, and for providing logistical support for the gallery’s exhibitions and fairs. This person is the point of contact for the gallery’s main storage provider and tracking inventory using Artlogic.Role Specification

  • UK and International shipping
  • Obtaining and negotiating competitive rates and quotes and summarising for sales team
  • Tracking all internal, external and fair costs via Excel shipping docs
  • Obtaining important proof of export documentation according to HMRC regulations
  • Liaising with shipping companies, customs agents, for set up and dismantle of all events/fairs
  • Checking quotes against shipping related invoices received for the accounts department
  • Acting as lead logistics coordinator for all fairs and exhibitions, and as point of contact for assisting with physical setup and dismantle as necessary, updating the shipping calendar as needed
  • Creating and distributing Authenticity Certificates as required
  • Liaising with the gallery’s account manager to ensure a strong and supportive relationship
  • Scheduling and attending physical inventory as needed
  • Tracking storage costs as inventory moves and ensuring a fair rate with the facility
  • Ensuring the gallery has been given the most cost effective solution for storage within the market
  • Maintaining a clean, tidy, and up to date database in relation to all Shipping, Packaging, Crating, Location, etc. per work
  • Create install and/or dismantle guides for works as necessary
  • Filing and pursuing any insurance claims in relation to logistics incidences.
  • Responsible for the creation of all loan agreements and condition reports.
  • Responsible for tracking loans from start to finish ensuring all details are correct, up to date, signatures are clear, and all parties involved are kept up to date.
  • Help with gallery shows and art fair preparation/exhibition

Person Specification
  • Enthusiastic, proactive and motivated.
  • Flexible, responsible and reliable.
  • Highly organised individual who has good computer/admin skills and who’s able to prioritise.
  • Experience with Microsoft Office Suite. Must know Excel and have experience in an inventory or collection management database.
  • Ability to handle a high level of volume and complexity with speed and accuracy
  • The ideal candidate will demonstrate the ability to communicate effectively with a diverse range of people.
  • Demonstrate good problem solving skills.
  • Good time management skills with the ability to meet deadlines
  • A polished, professional appearance and phone and email manners are crucial
  • Minimum 2 years experience working in a gallery or similar relevant role
  • Fluent in English (spoken and written).
  • Must be physically capable of lifting and moving somewhat heavy objects
  • Experience in international shipping procedures, UK and EU Customs procedures and regulations is preferable.
This is a full time role.
