Digital Media Coordinator

We are on the hunt for a Digital Media Coordinator to work with a Major Contemporary Gallery in Soho.

This role requires strong administrative skills in combination with communications experience and an understanding of working with film, photographic, video, and digital media. Reporting to the Senior Archivist, it is a full time position to assist with the management all the digital and media assets of the gallery, the website, film and video library and to assist the Senior Archivist with the day to day running of the Archive and Digital Media department.Key Areas of Responsibility:


  • Liaise and maintain all communication with Artlogic regarding all aspects of the website
  • Working with Artlogic on developing new pages of the website, setting up and attending all design and planning meetings, reporting all costs to the Head of Operations and the Senior Archivist, ensuring all new design features are approved by the Director
  • Responsible for uploading and maintaining content of the website: artists, exhibitions, video, e-shop, art fairs, contacts pages and their subpages
  • Maintaining a coherent style and accuracy across all content of the website, including non English language versions
  • Maintaining the accuracy, content and outlook of all the gallery online platforms: the mobile platform and the private film page
  • Checking that the Google rating of all gallery artists is maintained and Google Analytics is monitored on a monthly basis and reports generated
  • Photographing and filming the gallery exhibitions, performances and events for internal use and for uploading on the website
  • Editing footage on Adobe Premiere Pro.
  • Design exhibition and party invitations using Adobe Photoshop or InDesign
  • Assisting with the design and campaigns of e-cards, e-announcements composed in Artlogic
Technical support:
  • Assisting with all the films and audio related issues and enquiries by all the gallery
  • stakeholders and artists
  • Assisting with the editing of artists’ films as requested
  • Assisting the Technicians with the installation of films, videos and audio\sound works
  • Preparing files for internal and external exhibitions and screenings
  • Managing the Vimeo account
  • Looking after and updating all film editing software: Adobe Premiere Pro, Adobe Media Encoder, Wondershare
  • Making sure all filming and photography equipment is looked after and kept in the right environment
Social Media:
  • Supporting the implementation and optimisation of all social media platforms, including Facebook, Twitter, Instagram and updating the news page on the website
  • Co-ordinating video production of artist’s interviews with external companies
  • Filming and editing promotional and educational videos about gallery exhibitions and events for social media and website use.
  • Supporting the preparation of the monthly newsletter; working with Press Officer and
  • Artist Liaisons to clear images and captions, as well as gaining approval from artist
  • studios.
  • Attend fortnightly Exhibitions Press meetings
Films and Videos Library:
  • Organizing and maintaining the Film and Videos library
  • Arranging with lab the transferal from Digibeta master tapes, VHS and Mini DV into digital formats
  • Maintaining the DVD archival boxes for each artist
  • Updating and maintaining the inventory list of films and videos and entering details of new films works
  • Sending films out for loans; providing loan forms for galleries and museums
  • Duping DVD’s as required and making DVD labels
  • Making sure the iPad is up to date with films for Art Fairs
In support of the Senior Archivist:
  • Providing A/L cover or ad hoc support during busy periods
  • Dealing with all urgent image requests from the Sales team
  • Providing images with captions and credits to third parties
  • Making digital file images available to relevant gallery staff as requested
  • Downloading digital images, filing them in the appropriate folders and labelling digital image files with HQ number and / or exhibition details
  • Liaising with photographers, booking photography for internal and external shoots
As a full-time member of staff a great deal of flexibility is required in terms of:
  • Overseeing the upkeep of the gallery and exhibitions
  • Helping move artworks, including labelling and packing
  • Assuming all related Front of House responsibilities
  • To job share where necessary i.e. holiday and sick cover
  • Answering phones, taking and passing on messages
  • Greeting visitors
  • Ensuring the gallery space is clean and tidy
  • Ensuring all material on view (such as press releases and invite cards) is current
  • To work on special projects as requested by gallery staff, such as research
  • To attend all private views
Salary £25,000 – £30,000
