Our client, an international Blue Chip gallery, is seeking a Registrar.

Role Specification:
– Support the Exhibition Registrar on installations including discussing shipping needs with departments, preparing internal and client condition reports, and ensuring proper management of Certificates of Authenticity
– Work closely with Registration in New York to fill in communication gaps (especially with shipments, condition problems, location requests, and other important inventory)
– Supervise and manage Exhibition Registrar & Inventory Assistant and Intern workloads
– Work with Exhibition Registrar & Inventory Assistant to ensure artworks are fully and accurately processed on receipt regarding physical properties and packing: dimensions and inscriptions confirmed; frame labels and Certificate of Authenticity labels applied or stored appropriately; verso images shared; packing assessed
– Create and maintain inventory control processes and protocols; generate activity lists for large requests (consignments, sales, catalogue raisonné etc.); coordinate packing required for each type of artwork, requesting specific needs with agents; facilitate one-off large-scale inventory documentation, labelling, and storage such as larger collections of artist’s work, including all archive and supplemental material; oversee quarterly inventory of gallery and European warehouses
– Coordinate and undertake condition reporting for high value or sensitive incoming/outgoing inventory, Art Fairs, and exhibitions as required
– Coordinate consultations and checks by conservators, initiating conservation where necessary
– Manage the Condition Report Archive
– Manage consolidated international shipments of inventory, setting list deadlines and collection dates, directing inventory and art handling teams and external vendors through to completion
– Work closely with NY and UK sales team to coordinate International Shipments of Sold works from London and Non-US art fairs to clients worldwide
– Manage sold client shipping, including obtaining estimates and Certificates of Insurance, coordinating with clients for their needs, advising clients and relaying all information to sales team
– Ensure certificates, manuals, and installation information is provided to clients or consignees
– Coordinate with the Sales Team and Art handling Team for gallery viewings
– Supervise Exhibition Registrar & Inventory Assistant on storage and local movement of artworks
– Serve as courier for important loans and high-value works as and when needed
– Process and update locations of art according to hands-on information; from release and receiving paperwork from art handling
– Manage customs data entry for artwork imports/exports onto TA and database as required
– Manage customs account and prepare for future audit; create and maintain customs control processes and protocols
– Secure competitive estimates for all shipments, working to budget
– Submit information to Financial Manager for issuance of invoices; review invoices and complete data entry for accounting purposes
– Act as first point of contact for shipping and storage invoices working closely with the Associate Director to review costs

Person Specification:
Educated to at least BA level in art or arts administration
4-6 years of related experience working within a commercial art gallery
Must have strong administrative, organizational and professional communication skills
Extensive experience in international shipping procedures, UK and EU Customs procedures and regulations, and strong knowledge of contemporary art
Ability to handle a high level of volume and complexity with speed and accuracy
Must be a proactive team player
