The Role

We are looking for an enthusiastic and dynamic person to join our Art Transport team as a Senior Shipping Coordinator. The role embodies a broad knowledge of international shipping related compliance procedures, exceptional client service, exemplary attention to detail and ability to multi task under pressure.

Art Transport is an integral part of the UK Operations and supports both internal and external clients through facilitating the movement of pre and post-sale items, with focus on high value Tours and Exhibition shipping.

Specific duties & responsibilities will include but are not limited to:

  • Partner Art Transport Supervisor to ensure the shipping team are successfully managing their respective tasks and effectively prioritising the most urgent jobs
  • Provide exceptional client service to external and internal clients on all aspects of international shipping related procedures
  • Responsible for coordinating Tours and Exhibitions, working closely with global shipping, departments and Tour managers. Agree tour schedules, budgets with internal clients and internal/ external stakeholders
  • Coordinate/raise purchase orders for Tour and complex shipments
  • Source and coordinate shipping quotes for inbound / outbound shipments from Christie’s approved suppliers
  • Present quotes to clients and departments directly and ensure tour budgets are effectively managed
  • Proactive communication of delivery schedule to client and/or departments
  • Record shipping charges internally and ensure suppliers invoices are paid in a timely
  • Facilitating credit card and bank transfer payments for freight and/or lot(s)
  • Ensure that all tasks are carried out in full compliance with all local and international regulations (including Export Licensing / Carnets), and maintain effective working relationships with various government agencies and trade bodies
  • Ensure Supervisor is aware of any escalated issues raised by internal or external clients
  • Proactively manage service failures and escalate to Supervisor as and when required
  • Respond to emails / telephone calls in a timely and professional manner
  • Strong awareness of overall business activities and ability to communicate relevant information
  • Share relevant functional area information with overall Art Transport & Post Sale Service teams
  • File all shipping correspondence to ensure information is accessible by Art Transport & Post Sale Service teams
  • Along with the Art Transport Supervisor lead and support the implementation of KPIs, service standards and key processes to improve operational effectiveness and financial performance
  • Other duties as assigned by Art Transport Supervisor and Manager

The Candidate

  • 2 years’ experience in Import/Export/Licensing coordination within the Fine Art sector
  • Positive, dynamic attitude and an ability to lead by example
  • Proven time/task management and problem-solving abilities
  • Detail orientated
  • Strong work ethic and able to work in a fast-paced multi-tasking environment
  • Fast learner and ability to deal with pressure
  • A logical thinker with the ability to seek continuous improvement
  • Strong processing abilities whilst remaining client focused
  • Demonstrate exceptional client service and communication skills
  • Ability to build strong relationships internally and externally
  • Confident in using MS Excel, Outlook and Word
  • Excellent verbal and written presentation skills
